Pattern Planning & Development is seeking a highly organized and proactive Operations & Administrative Coordinator to support our growing land use consulting and permit expediting practice in Glendale.

Our firm works on some of the most cutting-edge real estate development projects in Southern California — from multifamily housing and adaptive reuse projects to hospitality, schools & facilities, commercial, and mixed-use developments. We collaborate closely with developers, architects, attorneys, and city officials to guide projects through complex entitlement and permitting processes.

This role is ideal for someone who enjoys being at the center of a fast-moving professional office — helping keep projects organized, supporting a team of planners, and ensuring clients have an excellent experience when working with our firm.

Key Responsibilities

Client Intake & Lead Coordination

  • Serve as the first point of contact for incoming phone calls and client inquiries
  • Track and organize incoming project leads and inquiries
  • Assist with initial client intake and information gathering
  • Help ensure timely follow-ups with prospective clients
  • Maintain organized client and project contact records

Proposals, Invoicing & Business Operations

  • Assist with preparing client proposals, agreements, and engagement letters
  • Support preparation and tracking of client invoices
  • Maintain organized records of client communications and billing
  • Assist the principal and project managers with administrative business operations

Project & Team Support

  • Provide administrative support to the project team
  • Assist with organizing project files, permits, and submissions
  • Help prepare documents, forms, and correspondence
  • Track project information and help maintain internal organization

Office Operations

  • Serve as the first point of contact for visitors, maintaining a professional and welcoming front-of-office presence.
  • Help manage daily office operations and maintain a professional workplace
  • Coordinate office supplies, deliveries, and vendors
  • Assist with scheduling meetings and managing calendars
  • Run occasional local errands as needed

Ideal Candidate

  • 3+ years of administrative, operations, or office coordination experience preferred
  • Strong organizational and time-management skills
  • Excellent written and verbal communication skills
  • Professional demeanor when interacting with clients and partners
  • Strong attention to detail and follow-through
  • Ability to manage multiple tasks and priorities in a fast-paced environment
  • Proficiency in Microsoft Office and/or Google Workspace
  • Experience in real estate, architecture, planning, construction, or professional services is a plus but not required

Schedule

Full-time preferred (approximately 32–40 hours per week).

We are open to a 4-day work week (approximately 32 hours) for the right candidate while maintaining full-time status and eligibility for benefits.

Typical schedules may include:

  • Monday–Thursday, 8:30 AM – 5:00 PM, or
  • Monday–Friday with shorter daily hours
